The Shop/Customer Ordering module receives orders, which have been transmitted or manually entered at Head Office for internal branches and wholesale customers.

The system converts this information and then processes it, to create Picking Lists, Delivery Notes and Invoices for goods available. The system allows for deliveries to be split for the benefit of the location of goods within a single Warehouse or multiple Warehouses. Details of all transactions are saved throughout the week and subsequently passed to the Branch Charging System.

Module Procedures:

Enquiries:

Enquiry routines are provided for orders placed by shops or customers. They can be selected by status such as: awaiting processing, awaiting picking, picked but awaiting confirmation, despatched or invoiced. The order of display can also be varied by selection. Records of Invoice Line Details by shop/customer are retained for enquiry or subsequent credit purposes.

Data Entry:

Orders can enter the module either manually or by transmission from shops/customers using EDI methods. All entered data is subject to a validation process prior to acceptance. Validation reporting is available for investigation purposes.

In order to allow for miscellaneous data entries, for purposes such as corrections and adjustments, facilities are provided for the entry of journals, either debit or credit.

Document Production:

The module generates warehouse picking, despatch and invoice documentation. Multiple warehouse picking documents can be generated from orders, if required (e.g. for separate Wines and Spirits stores).

Stock Allocation and Order Confirmation:

The module allocates available stock to orders, but also allows allocation of negative stock, if required. Confirmation can be undertaken by complete picking note or following the amendment of order lines. The module carries out the automatic update of stock balance records and generation of stock movements.

Warehouse Sales Statistics:

Statistics of warehouse sales are generated at invoice transaction, shop/customer and product levels. Procedures are available for the generation of weekly, period and annual warehouse sales statistics.

Maintenance:

Facilities are provided for the maintenance and control of all data held within the module.
